Q: How many people can attend my tailgate party?
A: Man Cave Events has tailgate party packages that can be adapted to accommodate a wide range of guests. With several packages and options to choose from, our team can guide you in selecting the best package to meet your event needs and budget. Our team has orchestrated tailgates from 5 people all the way up to 300 people. Be sure to check out our event package suggested guest counts for baseline accomodations with the ability to scale any solution to fit as needed.
Q: Can I pick up my rental equipment and return it myself?
A: No. Man Cave Events provides complete delivery, setup and removal of equipment including tailgating trailers, RV’s, tents and more to ensure optimal customer experience, preservation of equipment and, most importantly, the safety of all guests and people that may be impacted by the use of our solutions.
Q: Does Man Cave Events provide services in my area?
A: For a detailed overview of where we currently provide services, please visit our Service Area page. As we frequently say, “Have trailers and are willing to travel!” Our team is frequently all over the Tri State area for live events, corporate events and residential parties. Our charges will vary slightly based on the amount of travel required, time of year and any additional costs we may incur.
Q: Can MCE help with setting up tailgate party experiences in other parts of the country?
A: In many of the most popular tailgating destinations across the country, yes we can. A new service at Man Cave Events, we work with colleagues and partners across the country to be able to provide you with an amazing tailgating experience with the same great trusted service that you expect from Man Cave Events.
Q: Can a Tailgating Trailer be used in a backyard?
A: Absolutely! However, there are a few conditions to ensure the safety of guests, MCE staff safety, full operation of trailer and protection of your property. Tailgating Trailers must have at least 10’ of clearance between any gates on site along with at least 11’ of vertical clearance under any tree limbs/branches or other overhanging items in your yard. Man Cave Events is not responsible for any damage to sprinkler lines, grass or other landscaping elements that may be impacted by the weight of our trailers at your property.
Q: Is there a minimum amount of people needed for a tailgate party?
A: There are no minimum guest requirements for tailgating rental packages however we do have a 15 guest minimum charge for catering packages to cover the costs associated with delivery, setup and removal. Our tailgating packages have been designed to provide options for a wide range of needs including small groups of people attending live events. We do not offer individual tickets to group tailgate parties like some other providers (technically illegal and not permitted at most venues). However, our Varsity, All Pro and Semi-Private Ultimate Tailgating Experience are commonly selected options for groups of 15 or less.
Q: Does Man Cave Events carry insurance?

Q: Can MCE provide a W9 for our tax records?
A: Yes, no problem. Please simply send an email to email@example.com to request for our W9 and we will get that back to you asap.
Q: When should I consider making my tailgate party reservation?
A: We always suggest getting your tailgating reservations in as early as possible. All of our rentals are first come, first serve. Popular games, concerts or events often book out several months in advance and in some cases a whole year in advance. We will do our best to accomodate all rental requests when and where inventory is available.
Q: What is the process for booking an event solution with Man Cave Events?
A: Please see our Booking Process page for full details. In short, once you have finalized your event solution, a rental agreement and 50% deposit invoice will be sent electronically at which time your event solution will be held for 5 days. Completion of the rental agreement and deposit are required within 5 days to secure your reservation. After 5 days, you will still have the ability to continue with your reservation if there is still supply available. All rentals are first come first serve. Custom deposit plans must be negotiated prior to receipt of your rental agreement. (not applicable for all event types)
Q: How can I pay for my event?
A: Man Cave Events accepts all major credit cards via our secure online payment processing portal along with check payments. Cash is not an acceptable method of payment. Sales tax is required to be collected on all applicable transactions.
Q: Is my 50% deposit refundable?
A: All deposits for reserving tailgating rentals, transportation and/or catering are non-refundable. You may apply a deposit to a future event if you should need to cancel after submitting a deposit. (Restrictions may apply. Based on availability.)
Q: When is my remaining balance payment due for my event?
A: Full payment for your event, with all options and adjustments accounted for, is due no later than 3 days prior to your event. This ensures the day of your event goes smoothly and there is less for you to worry about. Your remaining balance invoice will be sent to you at the time of booking and again 15 days prior to your event.
Q: Is my tailgate rain or shine?
A: Yes, all tailgate parties are rain or shine with the exception of baseball games. We supply tenting for your group, however it might not be enough for full coverage during inclement weather. If full coverage is required, please be sure to request that as part of your rental package as additional costs may apply for the additional tent coverage. Q: What is the cancellation policy?
A: A 50% non-refundable deposit is required to reserve a tailgating package. Should you need to cancel after submitting your deposit, you must notify us 30 days prior to your event or you will be responsible for the full amount. For cancellations due to acts of god or terrorism, deposits will be refunded in the form of a credit for an event in the next 12 months.
Q: Where is the tailgate party setup and how do we find it?
A: Most venues have specific rules on where we are permitted to setup. We have preferred tailgating locations at all venues which is based on our years of experience. During the booking process we will provide an approximate location on your contract, including Lot Name and Pole/Area Marker. We suggest that you stick with our preferred locations. On the day of the event, a Man Cave Events representative will send you a text message confirming location once we have entered the parking lot and successfully secured a space.
Q: Can we choose a specific location to tailgate?
A: You may request a specific tailgating location, however it will be reviewed prior to accepting it based on venue rules and other limitations. There is no guarantee of any exact location as all venue lots are first come, first serve.
Q: When do tailgate parties start? How long does it last?
A: Each venue has different rules regarding the amount of tailgating time permitted, however, generally our base package duration is 4 hours from when the event/game begins. This will allow us to enter the parking lots and get your tailgating rental package fully setup. You are more than welcome to arrive when the lots open, however we do typically need 60 minutes to get your party situated properly so we kindly ask that you grant us time and space to do so.

Q: Can I extend my rental during the event and/or after the event?
A: Each venue has different rules regarding the amount of tailgating time permitted, however, for some venues we do offer hourly extension. These extensions are invoiced by the hour (no prorating for partial hours). Clients opting for post game/event tailgating will be responsible for the hours the event/game takes place, even if you are not present at the tailgate for that time.
Rental Package FAQs
Q: Can I remove items from a Tailgating Trailer to reduce the price?
A: Items cannot be removed from a tailgating trailer to reduce the price, even though you may not need those amenities. Our tailgating trailer features are designed to provide the optimal tailgating experience for the widest range of guests. These items are carefully selected based on 7+ years of experience and feedback as well as via extensive research.
Q: Can I add additional tenting if there is the possibility of inclement weather?
A: Absolutely. Based on your guest count at the time of reservation, we will make recommendations to ensure your group has the best solution available should it rain/snow. If you would like to add tenting, this can be accommodated as long as there is enough supply and would be added to your remaining balance invoice. These changes must be made no later than 3 days prior to your event.
Q: How is the keg tap system configured?
A: We utilize CO2 pressure keg systems (CO2 tank, regulator, tap) and ice buckets to keep your keg(s) cold. Jockey box systems may be used in some cases as well, which are also CO2 pressured and kept cold with ice buckets. Q: Are heaters provided with our tailgating rental package?
A: Heaters are not included in base packages, however, they can be added to any event solution with our Winter Package. We do this to keep the cost down for events that do not need heaters and allow for events happening in the colder months to add them for comfort. Rate cards provided for your event will include Winter Package pricing and will typically be a suggested addition to tailgates during November through March.
Q: What is included in the Tailgating Essentials Pack?
A: The Tailgating Essentials Pack is included with all rental packages (unless otherwise noted) and comes with paper plates, paper napkins, paper towels, 16oz. plastic cups, heavy duty plastic utensils (forks, spoons, knives), tabletop utensil bins, and trash bags.
Q: Is ice provided?
A: Yes, ice is provided for all coolers: typically 50 lbs per extra large cooler, 20 lbs per medium cooler. Warmer days will require more ice, especially for longer duration tailgates. Our team calculates the demand for ice based on these factors, however, more ice can be purchased if you feel it is necessary or you may bring your own ice which is typically required if bringing your own cold beverages to the tailgate..
Q: Is propane provided for grilling?
A: Yes, we provide (1) 20 lb. LP tank for large grills and (2) 1 lb. LP tanks for small grills.
Q: What Xbox games are provided with tailgating trailer rentals?
A: Specific games may vary and cannot be gauranteed, however, typically there is an assortment of sports games (i.e. football, baseball, basketball, soccer).
Q: Can we bring our own food?
A: Absolutely! Our goal is to provide flexibility for your event. We have many clients that are super talented chefs, have everyone bring a dish or have a favorite local caterer that they pickup from for the tailgate.
Q: Can we hire a grill chef for food items that we supply?
A: Unfortunately this is not permitted simply because we are not in control of the quality of the food being provided including storing temperature, expiration dates and other elements that could impact food safety.
Q: Are grilling utensils provided for grilling?
A: Yes, we provide (1) spatula and (1) set of tongs with any grill.
We also provide chafing equipment including trays, water and fuel and serving utensils for catering packages through Man Cave Events. If you will be doing your own catering, these items are not included but can be added for an additional charge - please be sure to request this when making your reservation.
Q: Can alcoholic beverages be provided for my tailgate party?
A: MCE does not provide clients with alcohol for tailgate parties. As a convenience to our clients, we can connect you with a local vendor for you to purchase from directly and we will pick up your order and deliver it to your event for a nominal fee.
Q: How is the cost of my catering package calculated?
A: Catering packages are based on the number of guests that you specify on your contract. Catering provisions will be based on that estimate that you provide so we encourage erroring on the side of more vs less. Keep in mind, guests may bring additional guests. You may add to your guest count up to 5 days before your event, at which time your remaining balance invoice will be adjusted for final payment. If your guest count reduces prior to 5 days before your event, we can modify to the new guest count.
Q: Can I add additional “complementary” items to my catering order?
A: Catering packages have flexibility to add many different items including Snacks Package, Dessert Package, Soft Drink Package or additional Mains, Appetizers and/or Sides beyond our standard catering package allotments. Our rate card notes how much each additional item is and what you get with each package.
Q: What hospitality services can I add to my catering order?
A: Our catering options come with the option to add Grill Chefs, Wait Staff and/or Bartenders for the convenience and elevated overall experience of your guests. Each of these services has a specific cost associated with it which can be found on our options guide/rate card.
Q: Can I drop off beverages to MCE to be transported to the tailgate party on event day?
A: Yes, beverages can be dropped off to our nearest location M-F between 9am - 5pm by appointment only. A fee may apply based on the quantity of items needing to be transported.
